In order to create a new Risk Assessment, follow the steps below:
Go to your platform.
Go to the Risk Assessment module.
Click on Create+.
Fill out the information required.
Basic Information:
Title – This will be the title of your risk assessment.
Asset types – A risk assessment is typically related to a physical location or structure (an asset), but it can also be created for an activity or an individual. Choose the most relevant item from the list.
Divisions – Risk assessments are related to a division and each user have access to one or more divisions. This is the way you can manage the access to risk assessments.
You can also assign the risk assessment to an individual user by using the respective icon.
Owner – The risk owner is the individual ultimately responsible for the risk assessment and is the primary receiver of notifications (e-mails) when end or review date is close, a new incident report matches the search criteria etc.
Site Category – Some organizations have different minimum requirements depending on a site classification system. This drop down allows you to match risk assessments with this system.
In order to find out which site category your site should be classified, take the site category questionnaire by clicking on the respective icon.
Active/Inactive – A risk assessment can be either active or inactive. An inactive assessment will not send out notifications, which is optimal when you are in the early phase of creating it. When the assessment is ready for publication, you should change the status to “Active”. Management will be notified of the change and the assessment will send out notifications c.f. specifications.
Remarks – Gives you the option to leave a comment on the risk assessment.
Sub Assets:
You have the option to select the sub-asset when creating/editing a Risk Assessment. Just choose the sub asset you need from the list configured on the Organization module and give a title to it.
When adding a threat to your Risk Assessment, you can choose both the main Asset and the specific Sub Assets that the threat should be associated with.
Once the threat has been assigned an asset type and a sub-asset type, users can utilize the filter options to search for the required threat based on these details.
Risk Assessment Review Task
Allows you to add a task for you to be able to review your risk assessment. After enabling this option, you will see the following fields will be pre-populated Title, Divisions, Assignor, Assignee. You can edit these if relevant. In addition, you have the option to also add a Checklist, Questionnaire, Frequency or/and a Deadline(s). For more information on tasks check out this article.
Location:
Search Address – “Search Address” is linked to Google Maps and will automatically identify the city and country when the address is indicated. The location of your asset will enable updates with relevant incident reports based on geographic information.
