This article gives you an overview of what an assignor & reviewer can see and do in a task and the notification flow.

Assignor is the responsible manager of the task.

When creating a new task, assign the manager of the task over the field “Assignor”.

Notifications

The Assignor is notified if a deadline is exceeded and if a “Follow-up” is added. Additionally, the assignor will receive a weekly report with an overview of relevant tasks. This notification is sent night between Sunday and Monday (CET).

Closing a deadline: Assignor & Reviewer 

Without a review process a deadline can be completed by the assignee by clicking the “complete” button and the deadline is closed and cannot be edited.

If a review process is enabled/added: Once a deadline has been sent for review by the assignee, the assignor can now choose to approve the deadline if he/she considers the deadline done.

If there is a reviewer on the task, he/she is the only one who can approve the deadline and not the assignor.  

The reviewer/assignor has the option to either approve the deadline or return the task back to the assignee. Every time a version is sent between the assignor and the assignee, it will be saved as a separate version.  

Issues & Corrective actions

An issue will arise when a user responds to a Questionnaire that includes issue logic.

Clicking on the respective "Issue" will open a new window from where the Assignor has the multiple option on how to approach the issue.

The Assignor has the following options:

  • Update - Will save any changes made by the assignor to the Issue's Title, Category, and Severity.

  • Assign Corrective Action - Will open a new page in which the assignor can define the new Corrective Action.

  • Go to question - Will open the page of the Questionnaire that triggered the Issue.

  • Accept / Close Issue - Provides the user with the option to either accept or close the issue.

  • Go to Task - Will open a page of the task that triggered the Issue.

He/she can add a comment to the issue as well.

A Corrective Action is a task linked to an issue that the assignee needs to complete.

In order to assign a corrective action, the Assignor will have to open the specific issue and assign it as a corrective action. Now the corrective action will be displayed in the task.
